Terms of service
Last updated 24 October 2026
These terms are the agreement between you and OneRep AI Ltd (company number 17528315, registered in England and Wales), who runs OneRep, when your business uses OneRep. They're written to be read. If anything isn't clear, email sam@tryonerep.io. Clients of a studio using the OneRep app are covered by the privacy policy and their own agreement with their studio.
1. The service
OneRep helps personal trainers and small studios run their business: diary and bookings, clients, packs and memberships, payments and VAT, coach pay, reports, a client app, and Ask, an assistant that answers questions about your own figures. We may improve and change features over time. We won't take away anything essential you pay for without telling you first.
2. Your account
- You must be 18 or over and using OneRep for your business, not as a consumer.
- The person who signs up is the studio's owner, and is responsible for who they invite and what their team does in OneRep.
- Keep your sign-in details safe, and tell us straight away at sam@tryonerep.io if you think someone else has used your account.
3. Price, trial and payment
- New studios get a 14-day free trial. We take a card when it starts. If you don't cancel before it ends, your subscription begins and your card is charged.
- The price is £39 a month. Founding coaches who joined at £19 a month keep that price for as long as their subscription carries on without a break.
- Subscriptions are paid monthly in advance through Stripe. Prices include any VAT that applies, unless we say otherwise.
- We'll give you at least 30 days' notice of any price change. A founding price that's locked stays locked.
- If a payment fails, Stripe tries again, and you keep full access for 7 days. After that your studio becomes read-only until it's paid: you can see everything, but can't add or change anything. Your clients can still use the OneRep app.
4. Referring other coaches
- If a coach signs up with your referral link or code and pays for their first month, you get £20 credit off your OneRep subscription. A free trial on its own doesn't count.
- Credit comes off your next payments automatically, and any left over carries on to the month after. It can't be exchanged for cash, and it ends if you close your account.
- You can't refer yourself, your own studio or another account you own. We may withhold or remove credit gained by misusing referrals, such as through fake accounts or spam.
- When you invite a coach by email, only send it to people you know who'd want to hear about OneRep.
5. Cancelling
You can cancel any time in Settings → OneRep plan. Your subscription then ends at the end of the month you've paid for, and we don't give refunds for part months. After it ends, your studio stays read-only so you can still see and export your information, until you close your account or restart your plan.
If you close your account, we'll delete your studio's information within 30 days, except what the law requires us to keep. Please export anything you need first.
6. Your clients' payments
When you take card or Direct Debit payments from your clients, you do it through your own Stripe account, under Stripe's terms with you. The money goes straight to you, and Stripe's fees come out of it. OneRep shows and records these payments, but isn't a party to them. You're responsible for your prices, refunds, VAT and any disputes with your clients.
7. Your information and your clients' information
- Everything you and your clients put into OneRep belongs to you. We only use it to provide OneRep to you, as our privacy policy explains.
- For your clients' personal information, you're the data controller and we're your data processor. We'll only process it on your instructions (using OneRep is those instructions), keep it confidential and secure, use only the suppliers listed in our privacy policy, help you respond to your clients' requests, tell you without undue delay about any breach affecting it, and delete it when you close your account.
- You're responsible for having a lawful basis for the information you record, especially health information, and for telling your clients how you use it, for example in your own privacy notice.
8. Using OneRep fairly
Please don't use OneRep to break the law, send spam, upload anything harmful, try to get into other studios' information, or overload or copy the service.
9. Ask and figures
Ask and OneRep's reports work your figures out from the information in your studio. We work hard to get them right, but they're a tool to help you, not professional advice. Please check important figures, such as tax, VAT and coach pay, before relying on them, and talk to your accountant where it matters.
10. If something goes wrong
- We aim to keep OneRep running all the time, but there may be short breaks for maintenance or things outside our control.
- Our total liability to you in any 12 months is limited to what you paid us for OneRep in those 12 months. We're not liable for loss of profit, business or goodwill, or for losses we couldn't reasonably have foreseen.
- Nothing in these terms limits liability that can't be limited by law, such as for death or personal injury caused by negligence, or for fraud.
11. Ending the agreement
We may suspend or close an account that seriously or repeatedly breaks these terms, or that isn't paid. Where we reasonably can, we'll warn you first and give you time to put it right and to export your information.
12. Changes to these terms
If we change these terms in a way that matters, we'll tell you at least 30 days before. If you don't agree, you can cancel before the change takes effect.
13. The legal bit
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute. If you have a problem, please tell us first at sam@tryonerep.io; most things can be sorted quickly.
